The Executive Assistant serves as a key strategic partner and operational leader, providing high-level support to the CEO and executive team. This role ensures alignment across RJL Solutions to enhance efficiency, communication, and execution of company-wide initiatives. Reporting to the Executive Team, the Executive Assistant will drive internal coordination, optimize decision-making, and oversee key projects that impact company operations.
ROLES & RESPONSIBILITIES:
Executive Support & Strategic Alignment:
- Serve as a strategic advisor to the CEO and executive team.
- Act as a gatekeeper for executive priorities, ensuring focus on high-impact initiatives.
- Manage executive decision-making processes by preparing reports, presentations, and data insights.
- Facilitate executive team meetings, setting agendas, tracking follow-ups, and ensuring accountability.
- Streamline internal communication, ensuring alignment between leadership and staff.
- Oversee confidential and high-level administrative functions.
Operational Leadership & Internal Coordination:
- Improve internal processes and workflows to enhance operational efficiency.
- Develop and monitor execution of company-wide initiatives.
- Lead internal communication efforts to ensure company-wide clarity on strategic priorities.
- Coordinate cross-functional projects across different departments.
- Ensure smooth operations of daily executive functions and optimize workflows.
- Oversee and improve office operations, including vendor management.
Project & Event Management:
- Drive execution of strategic initiatives and special projects.
- Organize high-profile internal and external meetings, ensuring preparation and follow-through.
- Assist in planning and executing key company events, client engagements, and public appearances.
- Serve as a project manager for executive-led initiatives.
External Relations & Stakeholder Engagement:
- Represent the executive team in key meetings and engagements.
- Manage relationships with key stakeholders, including clients, government officials, and industry partners.
- Oversee external communications, including reports, presentations, and correspondence.
- Work closely with PR and marketing teams on messaging and public relations strategies.
Other Duties to Consider:
- Travel coordination and logistics for executive team.
- Board and committee support (as needed).
- Crisis management and rapid response planning.
- Legal and compliance coordination (as needed).
This is a salaried position. Some evening, weekend, and travel commitments may be required.
